This newsletter is for all Clarity HMIS users in the Cincinnati/Hamilton County CoC. Here you will find updates, reminders, and important information to help keep our data strong and secure -  so we can continue strengthening services for our community. 

Updates on Reports and Dashboards in Clarity!

  • The Agency Workgroup Dashboard is live in the Data Analysis tab. This dashboard will be used in workgroups for users to analyze data trends regarding specific populations in our community. The version available in Clarity is for agency/project specific use to review data.
  • The Recidivism Report - it works! After many years of having to request a recidivism report from the HMIS team, we are thrilled to share the the report is now accurately pulling data in Clarity.

New UI Spotlight: Case Manager Widgets!


The new Clarity User Interface includes a feature that will greatly benefit Case Managers! 

  1. Active Enrollments shows the number of active client enrollments a user has either created or had assigned to them. 
  2. Status Due displays the number of programs in a user's caseload that have Annual Assessments due soon. A program will appear in this list ten days before the due date and will remain until the Annual Assessment is completed. 
  3. Case Manager shows all program referrals that a user has been assigned as the Case Manager for. Clicking on a client's name from the list will open the referral to view. 
  4. Navigator displays the number of referrals for whom the user has been assigned as the Navigator in a pending or pending -in process referral.

Data Analysis "Save" turned off

In February the HMIS Support team discovered a bug that was allowing users to modify and/or delete existing reports and dashboards (in the Data Analysis tab). Due to the number of reports and dashboards that our team supports, we turned off the ability for users to save and reported the issue to our vendor. Previously all users had the ability to create and save reports using the Explore tab in Clarity.  

Helpful Data Quality Tips: Income and Non-Cash Benefits

To meet HMIS HUD requirements and maintain data quality, please ensure client income and non-cash benefit information are entered accurately at both entry and exit. When completing client records, please double-check the following fields: 

  • Income from Any Source
  • Receiving Non-Cash Benefits

Accurate data helps us provide a clear picture of client progress and supports accurate reporting. Do not leave any questions unanswered, as this can lead to errors in your HMIS Data Quality Reports.


Clarity Feature Update: HMID change for Inventory Module projects

For the specific projects that utilize the Clarity Inventory Module, there was an update in the April Feature Updates that now prevents users from adding a Housing Move in Date to the enrollment screen. Instead, users should assign the client/household units and bed in the Bed/Units tab and Clarity will automatically use this assignment date at the Housing Move in Date.
