How to: ESNKY Emergency Shelter


The ESNKY Emergency Shelter requires all guests to have active Client Profiles and a Program Enrollment in Clarity HMIS. This article will walk through the following process: 

  1. Search for a Guest or Add a New Guest Record 
  2. Create a Program Enrollment
  3. Adding a Bednight and Using the Attendance Tool
  4. Document Contacts and Notes in the Notes Tab 
  5. Document a Date of Engagement and Current Living Situation in the Assessments Tab
  6. Exiting a Guest from the Emergency Shelter


Search for a Guest or Add a New Guest Record 

  1. Search for the guest. 
  2. Click the edit icon to access the guest’s record if found in the search or click the “ADD CLIENT” button and complete the profile data if the guest is not found when doing a search.

     
  3. IMPORTANT! Update the Guest’s Profile
    Check that the data on the guest’s profile is up to date. Enter Prior Address and Contact Information fields if missing.
  4. Check for Services on Suspension (SOS)  
    If the guest has a current SOS (services on suspension), a “Public Alert” banner will display on the guest’s profile screen. Click “Review Notes” on the banner to review the SoS.

Create a Program Enrollment

  1. Click on the PROGRAMS tab. 

  2. Scroll down to the PROGRAMS: AVAILABLE section and click on the arrow next to ESNKY Emergency Shelter. 

  3. Click the ENROLL button and complete the enrollment. 

  4. Complete the enrollment and hit “SAVE & CLOSE.” 
    **There is no need to enter a Bednight Service for the night of the enrollment. The system will automatically add a Bednight Service for that night.

Adding a Bednight and Using the Attendance Tool

  1. Click on the Launcher and select the ATTENDANCE button.
     
  2. Click on the edit icon next to “Bednight Service: ESNKY Bed Night [Attendance].”

     
  3. Change the date to the correct date if needed (the evening the guest came in to sleep). 
  4. Click the “Add” button next to any guest names to record a bednight.
    Click on the trash can icon to delete the attendance record.

     
  5. Use the search bar to search for the guests who do not show up on the list.
    If the “Add” button does not display the guest, they do not have an active enrollment in the ESNKY Shelter.


Document Contacts and Notes in the Notes Tab 

  1. Notes can be recorded in the NOTES tab found under the Guest's name.
  2. There are two categories available: 
    1. Client Notes
    2. Public Alerts


Document a Date of Engagement and Current Living Situation in the Assessments Tab

  1. The initial Date of Engagement should be documented in the enrollment and in the Current Living Situation Assessment.
  2. Update the date in the Enrollment screen
  3. In the Assessments tab, select START next to the Current Living Situation Assessment
  4. Enter the applicable information and any additional notes in the "location details" text box.

Exiting a Guest from the Emergency Shelter

  1. Although the system will automatically exit any guest who is absent from the shelter for 15 consecutive days, there are instances where a guest should receive a manual exit: 
    1. If the guest is suspended from services (after the suspension has been entered). 
    2. If the guest has been interviewed at the time of exit and provides additional information on where they are going. 
    3. If the guest is enrolled in the ESNKY Transitional Housing project. 
  2. Manually exit a guest from shelter: 
    1. From the guest’s record, click on the Client Level HISTORY tab. 
    2. Scroll over the current ESNKY Emergency Shelter enrollment and click the edit icon. 
    3. Click on the EXIT button on the left side of the Program Level navigation. button.
